About us

What is MeetingPal?

MeetingPal is smart and user-friendly app that provides support for managing online meetings, such as community schemes, professional bodies, associations or trusts. It turns your phone into a voting device and allows you to vote remotely from anywhere in the world, securely via your mobile device.

As the long-standing owner, trustee and chairperson of a self-managed complex, Poena designed MeetingPal in 2017 as a tool that complies with the Sectional Titles Schemes Management (STSM) Act which obligated bodies corporate to calculate votes in both number and value.

Having virtualized his offices in 2012, Poena had a good understanding of what it takes to run remote meetings successfully. When lockdown was imposed in April 2020, Poena found himself the chairperson of a body corporate with a need to run remote meetings that still complied with the STSM Act. This prompted him to revisit the initial app design and finally put it to good use.

Poena has completed a number of Paddocks Courses and has an excellent working knowledge of the Sectional Titles Schemes Management (STSM) Act.

Why use MeetingPal?

MeetingPal will transform your AGMs by increasing attendance and improving efficiencies.

The MeetingPal app allows for an easy onboarding process and intuitive management of the voting process. The host can easily monitor meeting attendees, amend resolutions, and view live voting results on the MeetingPal dashboard. MeetingPal is dynamic and can be configured to flexibly accommodate any meeting procedures or processes.

The app was initially designed for community schemes, such as bodies corporate and home owners’ associations, to manage annual general meetings (AGMs), special general meetings (SGMs), trustee meetings and round robin resolutions. Each type of meeting has its own set of rules and regulations concerning its notice, quorums, proxies, resolutions and the counting of votes – all of these can be accommodated by MeetingPal.

We have experience in facilitating remote and in-person voting for the following bodies or associations:
  • Bodies corporate
  • Mixed schemes
  • Home owners’ associations
  • Professional bodies
  • Pension fund administrators
  • Company shareholders
